Full-time employees are eligible to apply for a corporate American Express charge card at no expense to the individual or the University. Employees who apply for this card should anticipate spending at least $300 annually on University travel. Applications for the corporate American Express charge card are available through the Corporate Travel Card Office at 472-3650.
When using the corporate American Express charge card, employees:
- Will receive statements on or after the 20th of each month reflecting charges and credits received by American Express through the 17th.
- Must pay the entire bill upon receipt as the bill is "due and payable upon receipt". Partial and installment payments are not acceptable under the plan.
- Must understand the University has no obligation to pay for any charges incurred on the card.
- Must be aware that if payment does not reach American Express by the next billing date, the account will be considered 30 days past due and both the employee and the University will be notified.
- Accounts that are 60 days past due are subject to a delinquency penalty and may lose charge card privileges.
- Accounts that are 90 days past due may be cancelled.
- Accounts that are consistently not paid within the 30 day period are subject to cancellation.
University Use Only
The University intends the corporate American Express charge card to be used primarily for University business related expenses as:
- The card contains the name of the University of Nebraska, which will imply to the general public that the purchase is related to University business.
- Employees are able to receive a card as a result of being required to travel on University business.
- Amounts charged on the card are to be paid from State monies reimbursed by the filing of a University employee expense voucher.
- All travel charges billed on the card will be included on reports prepared for the University to use in analyzing expenses.
Problems/Mistakes on Charge Card Bills
The University has a dedicated account representative at American Express to assist with problems/mistakes on corporate charge card bills. Employees should call the toll-free number noted on the bill for assistance. If the problem is not handled to the employee's satisfaction, the employee should contact Purchasing.
Cancellation Due to Lack of Use
If a card holder does not use his/her card for a period of 12 months, American Express may send the card holder a letter informing him/her that the card will be cancelled. This is being done in an effort to reduce American Express' administrative costs. If you receive one of these letters and do not want your card cancelled, simply follow the directions in the letter. Each card holder will be responsible for halting the cancellation of his/her card.
Termination from the University
Employees must cut their card in half and return it to the Purchasing Department when their employment with the University is terminated. The terminated employee will be responsible for any outstanding charges on his/her account.
